👥 Inviting Your Team
Nurses get into Noted one of two ways — you invite them, or they register themselves and you approve them.
Inviting a nurse (recommended)
From Nurses in the web app, use the invite flow: enter the nurse's details and credentials for their account. Invited nurses are accepted automatically the first time they sign in — no approval step. Their seat is added to your subscription when they become active.
There's also a Batch Operations page for onboarding several nurses at once.
Self-registration and approval
Nurses can also register themselves at notedfl.com/register with your company code. Self-registered nurses land in Pending status and can't access anything until an admin approves them:
- The dashboard's Pending Nurses card surfaces waiting applications for one-click approve/reject.
- The Nurses page shows the full list with statuses.
Statuses at a glance

| ✉️ Invited | Created by an admin; auto-accepts on first sign-in |
| ⏳ Pending | Self-registered; waiting for admin approval |
| ✅ Accepted | Full access (and a billed seat while active) |
| 🚫 Rejected | No access; can be re-approved later |
Separately from status, an account can be deactivated — it keeps its history but can't sign in and doesn't bill. See Roles & Statuses for the full picture.
After they're in
- Assign patients — nurses only ever see the patients you assign to them (Patients).
- Put their credentials on file — licenses, CPR, background screening — so compliance tracking starts working for them (Records).
- Have them install the mobile app and sign in (Nurse Guide).
